What information we collect, use, and why

We collect or use the following information to provide and operate our service:

  • Account information — your email address and a securely hashed password, used to create and authenticate your account
  • Restaurant profile data — your restaurant name, address, phone number, and any menu content, images, or branding you upload
  • Usage data — anonymised information about how you use the site, collected via Google Analytics (see below)

We also collect or use the following information for service updates or marketing purposes:

  • Restaurant names and contact details
  • Restaurant addresses and location data

Cookies and analytics

We use Google Analytics 4 (GA4) to understand how people find and use menu.one. This helps us improve the platform over time. GA4 may collect:

  • Pages visited and time spent on each page
  • How you arrived at the site (e.g. search engine, direct link)
  • General device and browser information
  • Approximate geographic location (country or region level only)

This data is anonymised and aggregated — we cannot identify you individually from it. We do not sell or share your analytics data with any third party beyond Google, who process it on our behalf as a data processor.

Analytics cookies are only placed on your device if you choose to accept them via the cookie banner shown on your first visit. You can withdraw your consent at any time by clearing your browser's local storage or using your browser's cookie controls. Declining or withdrawing consent means GA4 will not be loaded on any subsequent visit.

Lawful bases and data protection rights

If you make a request, we must respond to you without undue delay and in any event within one month.

Our lawful bases for the collection and use of your data

  • Contract — we collect and use your account and restaurant profile data because it is necessary to provide the service you have signed up for.
  • Consent — we only place analytics cookies after you give us explicit permission via the cookie banner. You may withdraw this consent at any time.
  • Legitimate interests — we may use anonymised, aggregated usage data to understand and improve the platform, where this does not override your rights and interests.

Where we get personal information from

  • Directly from you, when you create an account or update your profile
  • Automatically, via Google Analytics (only if you have consented to analytics cookies)

How long we keep information

  • Account information (including email addresses): We retain this for as long as your account is active. If you choose to delete your account, we will retain your information for a further 30 days in case you change your mind or to resolve any outstanding issues. After this grace period, your data will be securely deleted.
  • Marketing data (e.g. email subscriptions): We retain this until you withdraw your consent or unsubscribe.
  • Analytics data: Governed by Google's own retention settings. We do not store analytics data ourselves.

We do not currently retain personal data for any legal or regulatory reasons beyond those stated above. If we change our retention practices in the future, we will update this notice accordingly.

Who we share information with

  • Google LLC — if you accept analytics cookies, anonymised usage data is processed by Google Analytics on our behalf. Google acts as a data processor and is bound by appropriate data processing terms. See Google's Privacy Policy.
  • Publicly on our website — your restaurant's public menu page (name, menu items, and any branding you choose to publish) is visible to anyone with the link.

How to complain

If you have any concerns about our use of your personal data, you can make a complaint to us using the contact details at the top of this privacy notice.

If you remain unhappy with how we've used your data after raising a complaint with us, you can also complain to the ICO.
